ECIF Coding

The ECIF data field is a special data field which stores five different types of information about the catalog entry. The five elements of the ECIF field are:

1. CCE part code

2. Retrieval code

3. Copy location code

4. Copyright Office coding

5. NLS/BPH code [obsolete]

Element 1: CCE part code.

The code indicates broad categories which describe the registered work.

1 = non-dramatic literary works, computer programs

2 = serials and periodicals

3 = performing arts, music, lyrics, plays, choreography, some machine-readable works

4 = motion pictures, videogames, some machine-readable works

5 = visual arts (excluding maps)

6 = maps

7 = sound recordings

8 = renewals

9 = mask works

Element 2: Retrieval code

The codes permit searchers to limit the types of material being searched in the COPICS system. Each catalog record contains a single retrieval code, which is assigned based on the nature of the claimed material.

A = Sound recordings & non-dramatic textual works when registration covers both the recording and the underlying work

B = Textual works; papers prepared for oral delivery

C = Computer programs; databases; some videogames; some audiovisual works

D = Dramas (including accompanying music, if any); choreography; pantomimes; screenplays; operas

E = Sound recording & drama, including dramatic works with accompanying music when registration covers both the recording and the underlying work

F = Maps, atlases, globes

M = Musical works

N = Sound recording and music when registration covers both the recording and the underlying work

Q = Multimedia works and kits; includes handicraft and needlework kits

S = Visual arts

U = Sound recordings without a claim in the underlying work

X = Motion picture, sound track, filmstrips; also used when the claim covers both cinematography and music or cinematography and choreography, etc.

Z = Mask works

1 = Architectural works in which the drawings only are being claimed

3 = Architectural works in which the underlying work is being claimed

Element 3: Copy location code

The major function of the code is to indicate whether at least one registered deposit (in whole or in part) was routed to the copyright deposit warehouse.

If the 3rd element is blank:

In monograph system, a blank 3rd element indicates that a copy was sent to the copyright deposit warehouse, i.e., the default is code D (see below)

In the serials subsystem, a blank 3rd element indicates that no copy was sent to the copyright deposit warehouse, i.e. the default is code L (see below)

L = No copy sent to the copyright deposit warehouse

D = At least one copy (in whole or in part) was sent to the copyright deposit warehouse

M = Motion picture copies all sent to the National Library of Medicine

N = Motion picture returned to the remitter under the Motion Picture Agreement; deposits returned to the remitter have a recall provision

P = Motion picture registered under the PBS agreement; deposits returned to the remitter lack a recall provision

Q = Registration cataloged from copyright application

X = Indicates there is no copy

Element 4: Copyright Office coding

Element 5: NLS/BPH code [obsolete]

The 5th element is no longer used or in effect because of section 121 which amends the copyright law to allow government (including the Library of Congress) and non-profit agencies to make copies or phonorecords for the blind and physically handicapped without permission from the copyright owner. This applies to all works, including those published or registered before the effective date of the amendment.
